Bottom line

Interview scheduling built for the agency recruiter stuck between candidates, clients and hiring managers. Arrange collects availability from each side, matches the earliest time and sends the invites, and clients can start scheduling from a link in your candidate submission without an account. Free for personal booking, Pro is $35 per user a month with a 14-day trial.

Stands out for: The client-first link is the clever part: drop it into a candidate submission and the client books the interview themselves, with no login and no email chain through you. Calendly and most booking tools assume one person shares one link, while Arrange handles three parties and several rounds.

Watch out for: It is a young product from a small team, and ATS integrations shown are agency systems such as Loxo, Recruiterflow and Crelate, so check yours before you buy. ATS sync sits on Pro, and API access only on Enterprise.

Overview

Arrange is an interview scheduling platform for the person in the middle: the agency recruiter, coordinator or assistant who has to get a candidate, a client and sometimes a panel of hiring managers onto one calendar. Instead of one shared booking link, it collects availability from every party, finds the earliest slot that works and sends calendar invites and confirmation emails automatically.

There are several ways to start a schedule. A client can kick it off from a link in your candidate submission, choosing whether to share their own times or see the candidate's. You can also start with the candidate, collect both sides at once, or let a candidate book directly against the combined calendars of several hiring managers through Arrange Connect, which is how panel interviews work.

Candidates and clients never create an account; they get branded emails and short forms, and only Arrange Connect asks hiring managers to connect a calendar. A dashboard shows each interview's stage in real time, so you can see who has replied, send a reminder, edit the details or reschedule without starting a new email thread.

Arrange connects to Google and Outlook calendars, adds Zoom, Google Meet or Microsoft Teams links, and on Pro syncs with applicant tracking systems including Loxo, Recruiterflow and Crelate. It was founded by Brian Gabay, who ran a PR and communications recruiting firm before building the product.

Who it's for

Best for

  • Agency recruiters coordinating interviews between candidates and clients
  • Recruiting coordinators running panel and multi-round interviews
  • Executive assistants scheduling with outside parties
  • Small recruiting desks on Loxo, Recruiterflow or Crelate

Not ideal for

  • Large corporate teams that need enterprise scheduling inside Workday or Greenhouse
  • Anyone who only needs a simple 1:1 booking link
  • Teams that need API access without an Enterprise contract

Key features

Client-triggered scheduling. Put a scheduling link in your candidate submission. The client clicks it with no login, chooses to share their availability or see the candidate's, and Arrange runs the rest.

Several ways to start. Client first, candidate first, collect both sides at once (Matchmaker), or let a candidate book straight into combined hiring manager calendars (Arrange Connect).

Panel interviews. Arrange Connect merges several hiring managers' calendars into one shared view so candidates book against real availability.

No accounts for the other side. Candidates and clients get branded emails and forms, and only Arrange Connect needs a hiring manager to connect a calendar.

Live stage tracking. One dashboard shows who has shared availability, who you are waiting on and what is confirmed, with reminders, edits and reschedules from the same screen.

Fast setup. Add a candidate by uploading a resume or pulling them from your ATS, pick the hiring managers, length and meeting type.
