What is a merge field?

A merge field is a placeholder, such as {first_name} or {company}, that an email or sequencing tool fills in for each contact when the message is sent. It lets one template produce many personalized messages.

In one line

A placeholder such as {first_name} that a sequencing tool fills in for each contact. An unfilled merge field in a sent email is a clear sign of automation.

Merge fields pull values from your contact list or CRM. Common ones are first name, company, job title and city. Many tools also let you add custom fields, such as a recent job posting or a personal icebreaker written for each contact. The more accurate your data, the more natural the finished message reads, and the less anyone can tell it came from a template.

Each tool has its own syntax, using curly braces, double braces or square brackets. Most let you set a fallback value, such as “there” in place of a missing first name, so a blank field does not leave an awkward gap. An unfilled merge field in a sent email, such as “Hi {first_name}”, is an instant sign of automation and usually kills any chance of a reply. Test every new template by sending it to yourself first.

Why it matters to recruiters

Merge fields are how recruiters and agencies send personal looking messages at scale. Used well, they save time and keep messages relevant. Used carelessly, they expose bad data: wrong names, companies written in all caps, or titles copied with odd formatting. Since your list quality decides how merge fields look, cleaning data before a campaign matters as much as writing the template. A quick preview of a random sample before each launch catches most problems.

An example from a recruiting desk

One campaign goes out with “I noticed {company} is hiring” in the first line. The data tool stored company names in full legal form, so contacts read “I noticed ACME HOLDINGS, LLC is hiring”. The recruiter adds a cleaned short company name column, previews 20 random emails before the next send, and replies pick back up.

Tips that help

  • Set a fallback for every merge field you use.
  • Clean names and company fields before importing contacts.
  • Preview a random sample of emails before launching.
  • Use custom fields for real personal details, not just names.
  • Use title case for names and companies, and strip suffixes such as Inc or LLC.

Mistakes to avoid

  • Launching a campaign without checking for blank or broken fields.
  • Relying only on name and company fields and calling it personalization.

Frequently asked questions

What is the difference between a merge field and spintax?

A merge field inserts data about each contact, such as their name. Spintax rotates between word choices you write, such as “Hi” or “Hello”, to vary the text. They are often used together.

What happens if a merge field is empty?

Without a fallback, the email may show a blank or the raw placeholder. Most tools let you set a default value or skip contacts with missing data.

Are merge fields the same as merge tags?

Yes. Different tools call them merge fields, merge tags, variables or personalization tokens. They all work the same way.
