Bottom line

Microsoft Teams note taker that sits inside a broader workplace operations suite. A bot records the call, AssemblyAI labels the speakers, and Claude drafts decisions and action items with owners and due dates. It is built for operations, facilities and board meetings rather than recruiting, it works with Teams only, and prices come from sales after a 15-day free trial.

Stands out for: Action items come out with an owner and a due date, linked to the moment in the recording, and can be promoted into tasks. Speaker names are only assigned from the attendee list when Claude can point to proof, which cuts down on wrongly attributed quotes.

Watch out for: Teams only, with no Zoom or Google Meet support. There are no published prices, setup involves connecting Microsoft 365 with a Teams admin step, and the product is sold mainly as visitor management and workplace software, with no recruiting features or ATS connection.

Overview

Kahrbon started in 2020 as contactless visitor check-in software and has grown into a workplace operations suite covering visitor management, meetings, board governance, tasks and e-signatures. It is built by LayerLogix. The Note Taker is the part relevant to note takers.

You invite the Note Taker bot's mailbox to a Microsoft Teams meeting and it joins as a guest, records up to four hours and leaves when the room empties. Before transcription it drops silent tracks, trims dead air and evens out quiet audio. AssemblyAI then transcribes the call with speaker labels.

Claude names each speaker only from the meeting's attendee list and only when it can cite proof, such as an introduction or a name said aloud, and your own tags always win. It then drafts the summary, decisions, open questions and action items with owners and due dates, each with a timestamp that jumps the player to that moment.

Around the Note Taker, Plan Room holds schedules, agendas, votes and a decision register, and Insight shows overdue, unanswered and at-risk items with a health score per meeting. Notes download as Word, text, Markdown or caption files, and meeting exports can go to Jira or HubSpot after setup.

Every new organization starts with a 15-day free trial with no credit card, and plans are quoted by sales.

Who it's for

Best for

  • In-house talent and HR teams that run their meetings on Microsoft Teams
  • Operations teams that want meeting action items tracked as tasks
  • Companies that already want visitor check-in or board meeting software in the same product

Not ideal for

  • Recruiters who interview on Zoom, Google Meet or the phone
  • Teams that need interview notes or scorecards written into an ATS

Key features

Teams Note Taker. Invite the bot's mailbox to a Microsoft Teams meeting and it joins as a guest, records up to 4 hours, and leaves once it has been alone for two minutes.

Drafted minutes with owners. Claude drafts the summary, decisions, open questions and action items with owners and due dates, each linked to its moment in the recording.

Careful speaker naming. AssemblyAI separates the voices, and Claude names a speaker only from the meeting's attendee list when it can point to proof such as an introduction. Your own speaker tags override it.

Exports. Download notes as Word, text, Markdown, or WebVTT and SRT captions, and send meeting exports to Jira or HubSpot after setup.
