What is a scheduled task?

A scheduled task is a prompt or AI agent job set to run on a timer, such as a Friday market summary or a Monday pipeline check. ChatGPT, Claude and Grok all offer scheduled tasks in some plans, and many automation tools can trigger AI steps on a schedule.

Instead of opening a chat and typing the same request each week, you write the prompt once and choose when it runs: daily, weekly or at a set time. The AI runs it in the background and sends you the result, often by notification or email. Some tasks only search the web and summarize. Others, when connected to your tools, can read a calendar, a spreadsheet or an inbox and report back.

A scheduled task is only as good as its prompt and its data access. It should state exactly what to look at, what to ignore, how long the output should be and where to send it. Tasks that touch candidate data need the same care as any other tool that handles personal information, including who can see the results.

Why it matters to recruiters

Recruiters lose hours to small recurring checks: scanning news for client layoffs, compiling a weekly req status note, checking which candidates have gone quiet. Scheduling these turns them into a report that lands on its own, so time goes to calls and meetings instead. It also makes routine work consistent when several people share a desk.

An example from a recruiting desk

Every Monday at 7 a.m., a task set up by an agency owner runs. It searches for funding rounds and new office openings among 50 target accounts in her region and returns a short list with links. By the time she sits down, she has five warm reasons to call a client, and her business development calls start with real news instead of a generic check in.

Tips that help

  • Write the task prompt with a clear scope, format and maximum length.
  • Start with one weekly task and refine it before adding more.
  • Ask the task to include source links so you can verify each item.
  • Delete tasks you stop reading so useful ones are not buried.

Mistakes to avoid

  • Trusting scheduled web summaries without checking the linked sources.
  • Setting tasks that pull candidate data into places other people can see.

Frequently asked questions

Which AI tools offer scheduled tasks?

ChatGPT, Claude and Grok each offer some form of scheduled or recurring task on certain plans, and features change often. Automation platforms and many recruiting tools can also run AI steps on a timer. Check your current plan for what is included.

Can a scheduled task send emails to candidates?

Some setups can, if the AI is connected to your email or outreach tool. It is safer to have the task draft messages for your review rather than send them, so a person checks tone, accuracy and consent before anything goes out.

How is a scheduled task different from workflow automation?

Workflow automation usually reacts to events, such as a candidate moving stage, and runs fixed steps. A scheduled task runs on a clock and often relies on an AI to search, read and summarize. Many teams use both together.
