What is an applicant tracking system (ATS)?

An applicant tracking system (ATS) is software that stores job openings and applicants and moves them through hiring stages, from application to offer. It is the system of record for most recruiting teams, holding every resume, note, interview and decision in one place.

All 207 terms

A typical ATS lets you create a job, post it to your careers page and job boards, collect applications, parse resumes into searchable fields and move candidates through stages such as screen, interview, offer and hired. It tracks who did what and when, sends emails to candidates, collects interviewer feedback and produces reports on time and source. Many now include AI features for screening, scheduling and writing.

Corporate ATS products focus on compliance, approvals and collaboration with hiring managers. Agency products, often sold as an ATS and CRM in one, add clients, job orders, submittals, placements and sometimes billing. Because the ATS sits at the center of the stack, its integrations matter: sourcing tools, assessments, background checks, scheduling and HR systems all need to send data in or pull it out.

Why it matters to recruiters

An ATS keeps hiring organized, consistent and auditable. Without one, candidates fall through the cracks, hiring managers chase spreadsheets and nobody can report on what works. A clean ATS record also supports compliance, such as keeping applicant records and tracking where candidates came from. For agencies, the database inside the ATS is one of the most valuable assets the business owns.

An example from a recruiting desk

A 60 person company hires through email and a shared spreadsheet. Candidates wait weeks for replies and two people are offered the same role by mistake. After moving to an ATS, each job has stages, automatic acknowledgments and scorecards. In this example the HR manager can now see every open role's pipeline in one view and replies to applicants within two days.

Tips that help

  • Map your hiring stages before setup so the ATS reflects how you really hire.
  • Check integrations with your job boards, calendar and HR system before you buy.
  • Make interviewer scorecards required so feedback is captured in the system.
  • Clean duplicate and stale records regularly to keep search useful.

Mistakes to avoid

  • Buying on features in the demo without checking how hiring managers will use it day to day.
  • Letting recruiters keep notes outside the ATS, which leaves gaps in the record.

Frequently asked questions

What is the difference between an ATS and a recruiting CRM?

An ATS manages people who have applied to a specific job and moves them through hiring stages. A recruiting CRM manages relationships with potential candidates before they apply, through talent pools, nurture emails and campaigns. Many products now combine both, especially for staffing agencies.

Do applicant tracking systems reject resumes automatically?

Only if they are set up to. Most ATS products store and parse every application, and recruiters decide who moves forward. Rejections happen automatically when teams add knockout questions or AI screening rules. Poor formatting can cause parsing errors, which makes a resume harder to find in searches.

Does a small business need an ATS?

If you hire more than a handful of people a year, an ATS usually pays off in time saved and a better candidate experience. Many affordable options suit small teams. With only one or two hires a year, a simple, well organized process may be enough until volume grows.
