What is an AI project?

An AI project is a workspace inside an AI chat assistant that keeps a job's brief, files and standing instructions together. Every new chat started inside the project begins with that context, so you do not have to paste the job description and client notes again each time.

Most major AI chat assistants now offer projects or a similar feature. You give the project a name, upload reference files such as the job description, intake notes and a sample of good outreach, and write project instructions that tell the AI how to behave. Those instructions work like a saved system prompt. Any chat you open inside the project can see the files and follows the instructions.

For recruiters, the natural unit is one project per search or per client. A project for a senior data engineer search might hold the intake notes, the salary range, the hiring manager's must haves and your Boolean strings. When you ask for a new outreach message or a screening question set, the AI already knows the role. When the search closes, you archive the project instead of losing the context in a long chat history.

Why it matters to recruiters

Context is what makes AI output useful. Without it you get generic job ads and bland messages. A well built project gives consistent results across days and across recruiters on the same desk, cuts the time spent pasting background, and makes it easier to hand a search to a colleague. It also keeps client information grouped in one place, which helps you control what data you share with the tool.

An example from a recruiting desk

A recruiter runs three searches for one fintech client. He creates a project per role and uploads the intake notes, the client's benefits summary and two messages that got replies. His instructions say to write in plain English, keep messages under 90 words and never mention salary. In this example, drafting a new outreach variant takes a minute instead of ten, and his teammate can pick up a role on day one.

Tips that help

  • Create one project per active search or per client, not one giant project for everything.
  • Write short, specific project instructions covering tone, length and anything the AI must never do.
  • Upload your best performing messages as examples so the AI copies a proven style.
  • Archive or delete projects when a search closes so stale details do not leak into new work.

Mistakes to avoid

  • Uploading confidential client or candidate files to a tool your company has not approved for that data.
  • Letting instructions grow so long and contradictory that the AI ignores half of them.

Frequently asked questions

How is an AI project different from a normal chat?

A normal chat only knows what you type into it, and that context disappears when you start a new chat. A project stores files and instructions that every chat inside it can use. That means you set up the role once and reuse the context for weeks, instead of pasting the brief into each conversation.

What should I put in a recruiting AI project?

Include the job description, intake meeting notes, must have and nice to have skills, the pay range you are allowed to share, and a few examples of messages that worked. Add instructions on tone, length and any compliance rules. Leave out anything you would not want stored by a third party tool.

Can my team share an AI project?

Many business plans let you share projects with teammates so everyone works from the same brief and instructions. This is useful when several recruiters work one client. Check your plan's sharing and data settings first, and make sure only people who should see the client's information have access.
