Gmail and Outlook MCP Servers: How Recruiters Connect Email to AI (2026)

Gmail and Outlook both connect to Claude and ChatGPT, through official preview MCP servers or built in connectors. Here is what each can do and how recruiters set it up safely.

Gmail and Outlook MCP servers

Quick answer: Yes, both Gmail and Outlook can now connect to AI assistants. Google runs an official Gmail MCP server in Developer Preview that reads mail and creates drafts but cannot send. Microsoft runs preview Work IQ MCP servers for Outlook mail and calendar that need a Microsoft 365 Copilot license. Most recruiters will get more from the ready made connectors inside Claude and ChatGPT.

What to do first: Start read only. Let the AI search and summarize your inbox, and keep every send on approval until you trust it. If you are on a company account, your Google Workspace or Microsoft Entra admin has to approve the connection before it works.

This page is part of our guide to MCP servers for recruiters. It covers the two inboxes most recruiters live in, what each option can really do today, and how to set it up without putting candidate data at risk.

Is there a Gmail MCP server?

Yes. Google publishes an official Gmail MCP server at the endpoint https://gmailmcp.googleapis.com/mcp/v1. It is a Developer Preview, which means you have to join the Google Workspace Developer Preview Program before you can use it.

The read tools let an AI assistant get a message, get a thread, search threads, list drafts and list labels. The write tools let it create a draft, add or remove labels and create new labels.

The most important detail for recruiters: there is no send tool. Google’s server creates drafts and stops there. You open Gmail, read the draft and press send yourself. For candidate email, that is a sensible default rather than a limitation.

Because it is a preview, expect setup work and possible changes. It is aimed at developers and technical teams, not at a recruiter who wants to click “connect” and go.

What can Claude and ChatGPT do with Gmail today?

For most recruiters, the easier path is the Gmail connector already built into your AI assistant. You sign in with Google, approve access and start asking questions about your inbox.

Claude’s Gmail connector searches and reads mail, writes drafts and manages labels and threads. It can also send, reply and forward, and by default it asks you before each send. It cannot read the content of attachments, so a resume sent as a PDF attachment will not be read through Gmail. Anthropic says the connector is available to all Claude users.

The ChatGPT Gmail app has drafted and sent email from chat since June 8, 2026. ChatGPT writes the draft and you choose whether to send it. This works on the web only, on Plus, Pro, Business and Enterprise plans. Since August 28, 2026 you can connect more than one Google account. On a company Google Workspace, an admin must trust the app and approve its scopes first.

If you already pay for Claude or ChatGPT, try their built in connector first. Reach for Google’s own server only if you are building a custom agent or your team uses a developer tool that needs it.

Is there an Outlook or Microsoft 365 MCP server?

Yes, with caveats. Microsoft offers official Work IQ MCP servers for Microsoft 365. They are in preview, and Microsoft says they are not meant for production use yet.

The Mail server can create, update and delete messages, reply, reply all and run semantic search across your mailbox. The Calendar server can create, list, update and delete events, accept or decline invites and resolve scheduling conflicts. There are also servers for Teams, SharePoint, OneDrive, Word, User and Copilot.

Two practical catches. First, they require a Microsoft 365 Copilot license. Second, Microsoft’s docs name developer tools such as Claude Code and GitHub Copilot CLI as the clients, so this is aimed at technical users today. We could not confirm from Microsoft’s documentation whether “create message” means sending an email or only creating one, so check before you rely on it.

For cost context, the Copilot Business add on is $18 per user per month paid yearly as a first year promotion running July 1 to December 31, 2026. The normal price is $21. See our Microsoft Copilot page for the full plan list.

What can Claude and ChatGPT do with Outlook?

Again, the ready made connectors are where most recruiters should start.

Claude’s Microsoft 365 connector covers Outlook mail, Outlook calendar, Teams, SharePoint and OneDrive. It is read only by default. Write tools, such as drafting and sending email, managing events, creating files and sending Teams messages, only switch on if an admin turns them on, and that needs a separate Entra consent. Write tools do not support attachments. The connector works on all Claude plans, Free through Enterprise, but an Entra Global Administrator must grant tenant consent once before anyone can use it.

The ChatGPT Outlook app reads mail and contacts and can send plain text email, including from shared or delegated mailboxes. On the calendar side it can create, update, RSVP to and delete events. It cannot pull attachments from shared mailboxes. An Entra admin approves the Microsoft Graph permissions, and a workspace admin turns on each action.

Which option should a recruiter pick?

Pick based on where your mail lives and which assistant you already pay for. You do not need a new tool for this.

Solo recruiters on a personal Gmail can usually connect in minutes. Agency recruiters on a company domain should expect an admin step, which is normal and worth doing properly.

What can a recruiter actually do with an AI connected inbox?

Connecting email is most useful for the slow, repetitive inbox work. A few examples that fit what these connectors can do today:

  • Find every reply from candidates on one requisition and list who said yes, no or maybe.
  • Summarize a long thread with a hiring manager before a call.
  • Draft polite follow up notes to candidates who went quiet, for you to review.
  • Pull the latest message from each client into a short Monday status list.
  • Label and tidy threads by role or client so your inbox stays sorted.

Pair it with your calendar for scheduling. Our guide to calendar and Zoom MCP covers that side. For recurring inbox sweeps, see scheduled tasks with Claude.

Claude prompt: candidate reply roundup

Search my Gmail for replies from the last 7 days about the [JOB TITLE] role at [CLIENT NAME]. Make a table with candidate name, date of their last message, what they said (interested, not interested, asked a question, no clear answer) and the next step. Then write a short draft reply for each candidate who asked a question. Save the replies as drafts only. Do not send anything.

How do you connect Gmail or Outlook to Claude safely?

These steps use Claude as the example. ChatGPT follows a similar path through its apps settings.

1. Check whether you need an admin

On a personal Gmail account you can connect yourself. On a Claude Team or Enterprise plan, an Owner enables the Gmail connector and decides whether sends need approval, and your Google Workspace admin may need to mark Claude as a trusted app. For Microsoft 365, an Entra Global Administrator grants tenant consent once.

2. Connect with read access first

Turn on the connector and sign in. For Microsoft 365 in Claude, it starts read only. Spend a week using it to search, summarize and sort before you consider any write access.

3. Keep sends on approval

Claude asks before each Gmail send by default. Leave that on. An AI writing to a candidate under your name should always pass your eyes first. Google’s own Gmail MCP server goes further and only creates drafts.

4. Be careful with candidate data

Your inbox is full of personal information: phone numbers, salaries, reasons for leaving. Only connect accounts on a plan whose data terms you are comfortable with, and check the training setting on personal plans. If your hiring touches automated decisions, run your process through our AI hiring law checker.

5. Know how to disconnect

You can remove the connector in your assistant’s settings at any time. On a company account, your admin can also revoke the app from the Google or Microsoft admin console.

What are the limits and risks?

Being clear about the gaps saves frustration later.

  • Previews change. Google’s Gmail MCP server and Microsoft’s Work IQ servers are both previews. Microsoft says its servers are not for production.
  • Attachments are patchy. Claude’s Gmail connector cannot read attachment content, Claude’s Microsoft 365 write tools do not support attachments, and ChatGPT cannot pull attachments from shared Outlook mailboxes. Resumes sent as attachments may need to be uploaded directly instead.
  • Admins are part of the setup. Company accounts need Workspace or Entra approval. Plan for that conversation rather than looking for a way around it.
  • Sending is the risky part. A wrong name or a wrong salary in a candidate email is hard to take back. Keep drafts and approvals in the loop.
  • Costs can creep. Microsoft’s Work IQ servers need a Copilot license on top of Microsoft 365, and the ChatGPT Gmail send feature needs a paid plan.

Quick answers

Can Google’s Gmail MCP server send email?
No. It has no send tool. It reads mail, manages labels and creates drafts, and you send them yourself.

Is there an official Outlook MCP server?
Yes, Microsoft’s Work IQ Mail and Calendar servers, but they are in preview, need a Microsoft 365 Copilot license and are not meant for production yet.

Can Claude read resumes attached to emails?
Not through the Gmail connector. Anthropic says it cannot read attachment content, so upload the file to the chat instead.

Do I need my IT admin to connect work email?
Usually yes. Google Workspace may need to trust the app, and Microsoft 365 needs an Entra administrator to grant consent once.

Is ChatGPT’s Gmail sending available on the free plan?
No. OpenAI lists Plus, Pro, Business and Enterprise, on the web only.

What is the safest way to start?
Read only access, sends on approval, and a plan whose data terms you trust with candidate information.

The bottom line

Gmail and Outlook both connect to AI assistants today. Google’s Gmail MCP server and Microsoft’s Work IQ servers are official but still previews, so most recruiters should use the built in Claude or ChatGPT connectors instead. Start read only, keep every send on approval, get your admin’s consent properly and treat candidate email as sensitive data.
