Resignation Letter Examples: 8 Templates by Situation (2026)

Eight copy ready resignation letter templates by situation, normal notice periods by role, what HR does with your letter, and BLS data showing about 3.1 million Americans quit every month.

note taking

Quick verdict: A good resignation letter is short. It states that you are resigning, names your last day, offers a handover and says thank you. It does not explain, complain or negotiate. Below are eight ready to copy letters for different situations, the notice periods that are normal by role, what HR actually does with your letter, and the latest BLS data on how many people quit every month.

The recruiter’s view: After 20 years of placing technical candidates, the resignations that go wrong are almost never about wording. They go wrong when the letter leaves a door open for a counteroffer, or when the last day is vague. Name the date, close the door politely, and keep it to one page.

What should a resignation letter actually say?

Five things, in this order: who it is to, the sentence that says you are resigning from your named role, your exact last working day, an offer to help with the handover, and a short thank you. Everything else is optional, and most of it makes the letter worse.

PartInclude?Why it matters
Date and recipientAlwaysHR files it, so it needs a date the notice period runs from
“I am resigning from my position as…”AlwaysOne clear sentence removes any doubt that this is formal notice
Exact last working dayAlwaysPayroll, benefits and system access are all built around this date
Handover offerAlmost alwaysShows good faith and protects your reference
Thank youAlmost alwaysOne or two lines is enough

Which resignation letter template fits my situation?

Pick the closest match, replace the brackets, and send it as a PDF attached to a short email or print and sign it if your employer still works on paper. Each template is written to be complete as it stands, so you do not need to add anything.

1. The standard two weeks letter

[Date]

Dear [Manager’s name],

Please accept this letter as formal notice that I am resigning from my position as [job title]. My last working day will be [Friday, Month Day, Year].

Over the next two weeks I will finish [project or task], document my open work and hand it to whoever you nominate. If a written handover note would help, I will have it ready by [date].

Thank you for the support and the chance to work on [one specific thing]. I have valued my time here.

Kind regards,
[Your name]

2. Leaving for a new job, with no reason given

This is the one I hand to most candidates who have just accepted an offer. It is polite, final and gives nothing to negotiate against.

Dear [Manager’s name],

I am writing to confirm my resignation from the role of [job title], effective [last working day]. I have accepted a position elsewhere and my decision is final.

I want the handover to be as easy as possible for the team. I will prepare notes on [systems, accounts or clients] and I am happy to brief my replacement before I go.

Thank you for everything over the past [number] years.

Best wishes,
[Your name]

3. The counteroffer proof letter

Use this if you expect your manager to come back with more money. The second paragraph does the work: it thanks them in advance and declines before anything is offered.

Dear [Manager’s name],

Please take this letter as my formal resignation from [job title]. My final day will be [date].

I have thought about this carefully and have committed to my next role. I appreciate that you may want to discuss options to keep me, and I am grateful for that, but I would rather we spend the next two weeks on a clean handover.

I will send a list of my open work by [date] so we can agree priorities.

With thanks,
[Your name]

4. Senior or manager role, extended notice

Dear [Manager’s name],

I am resigning from my position as [job title]. In line with my contract, I am giving [four weeks / 30 days / 60 days] of notice, which makes my last working day [date].

I would like to use that time well. I suggest three things: a handover plan for my direct reports agreed by [date], introductions for my successor or interim lead to [key clients, partners or stakeholders], and written notes on [budget, roadmap or open hires].

It has been a privilege to lead this team. Thank you for your trust.

Sincerely,
[Your name]

5. Short notice for health or family reasons

Dear [Manager’s name],

I am sorry to tell you that I need to resign from my position as [job title], with my last day being [date]. A [health / family] matter needs my full attention and I am not able to give the usual notice.

I know this is short, and I apologise for the pressure it puts on the team. Before I leave I will write up [open work] and I can answer questions by email for two weeks afterwards.

Thank you for your understanding.

Kind regards,
[Your name]

6. Leaving soon after starting

Dear [Manager’s name],

I have decided to resign from my role as [job title], effective [date]. The role is not the right fit for me, and I think it is fairer to say so now than to let it drag on for both of us.

I appreciate the time the team has invested in my onboarding. I will return my equipment on [date] and pass on everything I have started.

Thank you, and I am sorry it did not work out.

Regards,
[Your name]

7. Remote employee resigning by email

Subject: Resignation, [Your name], [job title]

Hi [Manager’s name],

Following our call today, I am confirming in writing that I am resigning from my position as [job title]. My last working day will be [date].

Please let me know where to return my laptop and any other equipment, and whether you would like me to schedule a handover call with [colleague]. I will keep my calendar open for that next week.

Thanks for being a great manager to work with remotely.

[Your name]

8. Retirement

Dear [Manager’s name],

After [number] years with [Company], I am writing to give notice of my retirement. My last working day will be [date].

I would like to help make the transition smooth. I can spend my remaining weeks training [colleague or successor] and writing down the processes that live in my head.

Thank you for a rewarding career here. I will miss the people most of all.

Warm regards,
[Your name]

How much notice is normal, and is two weeks required by law?

In the United States, no. Most employment is at will, and the Paychex notice guide states plainly that no federal law requires employees to give notice before resigning. Two weeks is a professional norm. A notice period only becomes binding when it is written into your offer letter, contract, handbook or a union agreement.

The UK is different. GOV.UK says you must give at least a week’s notice if you have been in your job for more than a month, and your contract can require more. Your notice usually runs from the day after you hand it in.

Your situationTypical noticeWhat sets it
Hourly or entry level, USTwo weeksCustom, not law
Salaried professional, USTwo weeks, sometimes 30 daysOffer letter or handbook
Manager or senior specialist30 to 60 daysContract, often negotiated at hire
Executive60 to 90 daysExecutive agreement
UK employee, more than a month in postAt least one week by law, usually more by contractStatutory minimum plus contract
Contractor or agency tempWhatever the assignment terms sayAgency or contractor agreement

The common lengths of two weeks, 30, 60 and 90 days come from Paychex’s guide; the mapping to role level reflects what we see across technical placements. If you are unsure of yours, search your offer letter for the word “notice” before you write anything. Our two weeks notice guide covers the conversation itself.

How many people quit their jobs?

About 3.1 million a month. The latest JOLTS release counted 3,066,000 quits in August 2026, a quits rate of 1.9% of employment, unchanged on the month. That is roughly 99,000 resignations every day, by Work Insiders arithmetic (3,066,000 divided by 31 days). Quits made up about six in ten of the 5.1 million total separations.

Total US quits per year, 2021 to 2025 BLS JOLTS annual quits levels: 2021 47.6 million, 2022 50.5 million, 2023 44.2 million, 2024 39.3 million, 2025 38.0 million. Bar widths proportional.

Annual quits peaked at 50.5 million in 2022 and fell to 38.0 million in 2025, according to BLS annual quits. On the FRED quits series the monthly rate hit 3.0% in November 2021 and April 2022, against 2.3% in most months of 2019. In plain terms, quitting is less common now than at any point since before the pandemic, which makes a careful, final resignation more important, not less.

Which industries have the most resignations?

Hospitality and retail, by a distance. The BLS quits table for August 2026 shows how much the norm varies, and it helps explain why a resignation in a bank feels like a bigger event than one in a restaurant.

Monthly quits rate by industry, August 2026 Accommodation and food services 3.5 percent, retail trade 3.0, other services 2.7, professional and business services 2.1, health care and social assistance 2.0, all industries 1.9, manufacturing 1.6, information 1.1, finance and insurance 1.0, government 0.7. Share of workers who quit in one month Quits rate by industry, August 2026, seasonally adjusted Accommodation and food 3.5% Retail trade 3.0% Other services 2.7% Professional and business 2.1% Health care and social 2.0% All industries 1.9% Manufacturing 1.6% Information 1.1% Finance and insurance 1.0% Government 0.7% Source: BLS JOLTS Table 4, quits levels and rates by industry, August 2026 preliminary, released September 29, 2026.

A restaurant worker’s monthly quit rate is five times a government employee’s. Where quitting is rare, managers take it personally more often, so the warmer templates above (numbers 4 and 8) tend to suit finance, government and information roles. Our quits rate by industry tracker breaks down every sector.

What does HR do with my resignation letter?

It becomes the document that starts your offboarding. The letter’s date fixes when your notice runs from, and your stated last day drives the rest. Here is what typically happens next, based on the employer checklist in Paychex’s guide and what we see on the recruiting side.

What HR doesWhat it means for you
Files the letter in your personnel recordAnything negative you write stays there; keep it neutral
Confirms your last day with payrollYour final pay date follows state law; federally it need not be immediate
Plans knowledge transfer and access removalExpect a handover meeting and accounts switched off on your last day
Schedules an exit interviewThis, not the letter, is where honest feedback belongs
Records rehire eligibilityLeaving without notice can get you flagged as not eligible for rehire
May release you earlyEmployers can end your notice period, sometimes paying it out in lieu

On pay, the DOL last paycheck page says federal law does not require your final paycheck immediately, but some states do. If the regular payday for your last period passes without payment, you can contact the Wage and Hour Division or your state labor department.

Should I tell my manager before I send the letter?

Yes, whenever you can. Ask for fifteen minutes, say it out loud in two sentences, then send the letter straight after the conversation so the written record matches what you said. Template 7 is built for exactly that follow up. Sending the letter cold, with no conversation, is the fastest way to turn a neutral exit into a sour one.

What if they make a counteroffer?

Decide before you resign. From the recruiting desk, the pattern I see most is that the reasons someone started looking (the manager, the work, the lack of progression) are still there after the raise. If money really was the only issue, have that conversation before you job hunt, not in the resignation meeting. Our salary negotiation templates cover how to ask for a raise without leaving.

What mistakes do recruiters see in resignation letters?

MistakeWhat happensFix
Resigning before the new offer is signed and checks are clearedYou can end up with no job at allWait for the written offer and background check result
“My last day will be around the end of the month”Arguments about dates, pay and benefitsName the exact day

How we built this page

The eight templates were written by Work Insiders from the resignations we coach candidates through on technical placements, and they are deliberately different from the offer response and thank you templates elsewhere on this site. Quit numbers come from the BLS JOLTS release for August 2026 and the BLS annual table published March 13, 2026, cross checked against FRED on October 9, 2026. Notice rules come from Paychex, GOV.UK and the US Department of Labor. Daily quits and the share of separations are Work Insiders arithmetic on those BLS numbers. This page is general guidance, not legal advice.

Quick answers

How long should a resignation letter be?
Three or four short paragraphs, comfortably under one page. State the resignation, the last day, the handover offer and a thank you.

Do I have to give two weeks notice?
Not under US federal law. Two weeks is custom, and a longer period only binds you if your contract, offer letter or handbook says so. In the UK the legal minimum is one week once you have worked there for more than a month.

Can I resign by email?
Yes. Email is normal, especially for remote roles. Ideally tell your manager first on a call, then send the email as written confirmation.

Should I give a reason for leaving?
Usually not. A reason gives your employer something to counter. “I have accepted a position elsewhere” is enough.

Can my employer make me leave the day I resign?
In most US at will situations, yes. Employers can end the notice period early and some pay it out instead. Have your personal files sorted before you hand in the letter.

How many people quit their job each month?
About 3.1 million in the US. BLS counted 3,066,000 quits in August 2026, a rate of 1.9%.

Can I take back a resignation?
Only if your employer agrees. GOV.UK notes that if you resign in the heat of the moment, you should tell your employer straight away, and they can choose whether to accept it.

When should I resign after accepting a new job?
Once you have the signed offer and any background or reference checks have cleared. Then work back from your new start date, as our job offer email guide explains.

The bottom line

Your resignation letter is a filing document, not a farewell speech. Name the role, name the last day, offer the handover, say thank you and stop. Pick the template above that fits your situation, have the conversation first, and send the letter the same day.

About 3.1 million Americans resign every month, and the ones who leave cleanly keep their references, their rehire status and their network. That is worth ten minutes of care.
