When Should You Connect ChatGPT, Claude or Grok to Your ATS, CRM or Sequencer?
On its own, an assistant only sees what you paste. Connected over MCP, it can read your ATS, draft in your email and update your CRM. Here is what a connection adds, how ChatGPT, Claude and Grok support it and how to connect safely.

The short answer
Connect an assistant to a recruiting tool when you keep copying the same data between them. A connection, usually built on MCP, lets ChatGPT, Claude or Grok read your ATS, search your CRM or draft in your sequencer with your own login, so you ask in plain English instead of exporting and pasting.
Start read only, connect one tool at a time and keep a person in front of anything that sends, rejects or spends. If your tools cannot connect yet, the assistant on its own still covers most of this module.
What does a connection add?

The pattern: the assistant alone is enough for writing and thinking. Connections pay off when the job depends on live data in your systems. Module 1, Lesson 5 explains APIs and MCP if you need a refresher.
How do ChatGPT, Claude and Grok connect to other tools?

Can your recruiting tools connect?
Fewer can than the marketing suggests. In the Work Insiders directory, 180 of 778 recruiting, lead generation and HR products ship their own MCP server, about 23%. Email finders and sourcing tools lead; applicant tracking systems lag, with 24 of 117.
Some ATS vendors offer a server you add as a custom connector rather than a directory listing. Greenhouse, for example, has an MCP server in open beta that a site admin sets up and that is read only unless an admin allows more, according to Greenhouse support. Grok’s Salesforce connector matters for teams that run recruiting on Salesforce or on recruiting software built on it.

How do you connect safely?
- Get approval. Connecting an assistant to your ATS moves candidate data into another system. Your employer or client may need to agree, and your candidate notice may need a line about it. See Module 4, Lesson 4.
- Use the vendor’s own connector. Community built servers running on a shared key may ignore user permissions.
- Start read only. Ask questions for two weeks before you allow any writing.
- Turn on write actions one at a time. Adding a note is low risk. Moving stages, sending email and deleting records are not.
- Cap spending. If the tool charges per lookup, set a limit in the tool and in your prompt.
- Check the log. Make sure the tool records actions taken through the connection, and look at it weekly at first.
What should you ask first once connected?
Using our ATS, list the candidates who reached the interview stage for [job] in the last 30 days, with their current stage and the date of their last activity. Do not change anything. Then tell me which ones have had no activity for more than 7 days.
A read only question like this shows whether the connection sees the right data and respects your permissions before you trust it with anything more.
When should you not connect?
When copy and paste takes a few minutes a week, a connection adds risk for little gain. When your employer has not approved it. When the only connector is unofficial. And when your data is messy: an assistant reading a CRM full of duplicates will give confident answers built on bad records. Run the CRM clean up recipe first.
Quick answers
Do I need a developer to connect my ATS?
Not if the vendor has a connector in your assistant’s directory or publishes an MCP server with setup steps. You add it in settings and sign in. APIs without MCP usually need a developer or an automation tool.
Will the assistant see candidates I cannot see?
A vendor’s own connector signs in as you, so it should only see what you can. Confirm this with the vendor before you connect.
Can a connected assistant reject candidates?
If the connector allows stage changes, technically yes. Do not allow it. Rejection decisions stay with a person, and automated rejection triggers the rules in Module 4, Lesson 3.
What if my ATS has no MCP server?
Use exports and uploads (Lesson 3), or an automation tool if it has an API. An AI teammate such as Grok Bot can also work in a web app the way you do, covered in Lesson 6. Ask the vendor for their MCP plans too.
