Why it matters: a verbal yes is not a hire. A clear written offer sets out the role, pay, start date and conditions, so there are no surprises on day one. Recruiters and small business owners can build one here in a few minutes, add a logo and signature, and send it as a PDF.

Frequently asked questions

Is an offer letter a contract?

It can be treated as one if it promises a set length of employment or guaranteed pay. That is why most US offer letters include an at-will statement. Keep the at-will box ticked unless you mean to offer a fixed term, and have a lawyer review letters for senior hires or anything unusual.

Do some states need more than this letter?

Yes. States such as California and New York require a separate written notice of pay rate, pay day and employer details at hiring. Montana does not follow at-will employment after a probation period. Check your state’s labour department before you send the offer.

How should the candidate sign it?

Send the PDF and ask them to sign the acceptance line. They can print it, or sign it online with the free fill and sign tool and send it back.

Is what I type saved?

No. The letter is built in your browser and nothing is uploaded or stored. Download the PDF or copy the text before you close the page.

After the yes, the new hire needs an I-9, which you can fill in and sign with the fill and sign tool. Making offers every week? ATS and onboarding tools send offer letters for e-signature from templates.
